Terms & Conditions

MindAid Training is committed to providing high-quality Mental Health First Aid (MHFA) courses and MindAid Workshops in a safe, professional and supportive environment. These Terms & Conditions apply to all enquiries, bookings and training delivered by MindAid Training.


Privacy Policy

We respect your privacy and are committed to protecting your personal information.

Information Collected

When you submit an enquiry or enrol in a course, we collect your name, organisation (where applicable), contact details and payment information. For Mental Health First Aid (MHFA) courses, participant details are also provided to Mental Health First Aid Australia for accreditation purposes.

How Your Information Is Used

Your information is used solely for:

  • Processing enquiries and bookings
  • Delivering training
  • Registering participants with Mental Health First Aid Australia
  • Issuing accreditation and certificates
  • Providing course information and updates

Storage & Security

Personal information is stored securely and will not be shared with third parties except where required by law or for Mental Health First Aid Australia accreditation purposes.

Access & Corrections

You may request access to or correction of your personal information at any time by contacting us at bookings@mindaidtraining.com.au.


Payments

MHFA Public Courses (Individuals)

Full payment is required at the time of booking to secure your place. Payments are processed securely online via Stripe.

Participants booking through a Foundation School Partnership discount must enter their school’s unique coupon code during the online booking process to receive the discounted participant rate.


Foundation School Partnership

Foundation School Partnership bookings operate through an enquiry process.

Once an enquiry has been received, MindAid Training will contact the nominated Course Coordinator to discuss suitable training dates, participant numbers and delivery requirements.

Final participant numbers must be confirmed at least 14 days prior to training. Once confirmed, a Stripe invoice will be issued to the school for payment.

Foundation School Partnership introductory pricing applies for 12 months from the completion of the organisation’s first Foundation School Partnership course. During this period, schools may book up-to four courses at the agreed introductory participant rate. Staff family and friends may also access discounted public MHFA courses using the school’s unique coupon code during this period.


Small Team Package

Small Team Package bookings operate through an enquiry process.

Following your enquiry, MindAid Training will discuss suitable training dates, participant numbers and delivery requirements.

Once participant numbers are confirmed, a Stripe invoice will be issued prior to training.


Organisation Package

Organisation Package bookings operate through an enquiry process.

Following your enquiry, MindAid Training will discuss suitable training dates, participant numbers and delivery requirements.

Once participant numbers are confirmed, a Stripe invoice will be issued prior to training.


MindAid Workshops

Individual workshop bookings require full payment at the time of booking through the online booking system.

Group workshop bookings operate through an enquiry process. Training dates, participant numbers and delivery requirements will be confirmed before an invoice is issued.


Refunds & Cancellations

Public Course Participants

More than 21 days before training

  • Full refund.

14–21 days before training

  • 50% refund or transfer to another public course within 12 months.

7–14 days before training

  • Transfer to another public course within 12 months (no refund).

Less than 7 days before training

  • No refund.

If MindAid Training cancels a public course, participants may choose either:

  • A full refund, or
  • Transfer to another available public course.

Participant substitutions are welcome at any time.


Foundation School Partnership, Small Team & Organisation Packages

If your organisation needs to postpone or cancel training, bookings may be rescheduled within 12 months, subject to trainer availability.

Final participant numbers must be confirmed at least 14 days before training. Once confirmed, these numbers become the invoiced quantity.

Participant substitutions are accepted at any time before training.

If MindAid Training cancels the booking, your organisation may choose either:

  • A full refund, or
  • An alternative training date.

Transfers & Non-Attendance

Participants must attend all sessions in full to be eligible for accreditation through Mental Health First Aid Australia.

For public course participants, non-attendance without prior notice or arriving late may result in being ineligible for accreditation and no refund will apply.

Transfer requests for public course participants are subject to the Refunds & Cancellations Policy.


General Terms of Enrolment

Accreditation

To become an Accredited Mental Health First Aider, participants must complete the full course and any required assessments as determined by Mental Health First Aid Australia. Accreditation is valid for three (3) years.

Code of Conduct

Participants are expected to engage respectfully and contribute to a safe, supportive and inclusive learning environment. Disruptive or inappropriate behaviour may result in removal from the course without refund.

Course Changes

MindAid Training reserves the right to amend course dates, venues, facilitators or delivery methods where necessary. Participants will be advised of any significant changes as soon as practicable.

Payment Terms

Unless otherwise agreed in writing, invoices are payable in accordance with the payment terms stated on the invoice.

Health & Safety

Participants agree to comply with all health, safety and venue requirements applicable at the time of training.


Liability & Disclaimer

Mental Health First Aid training is designed to provide participants with the knowledge and confidence to recognise and respond to mental health problems and crises. It is not a substitute for professional medical, psychological or emergency services.

MindAid Training Workshops are independently developed and are not accredited by, affiliated with or endorsed by Mental Health First Aid Australia. These workshops focus on general mental health awareness and community education and do not replicate or replace accredited MHFA course content.

Participants are responsible for applying the knowledge and skills gained during training within the scope of a Mental Health First Aider and in accordance with their workplace policies and professional responsibilities.


Intellectual Property

All accredited Mental Health First Aid course materials, including manuals, presentations and associated resources, remain the intellectual property of Mental Health First Aid Australia.

All MindAid Training workshop materials remain the intellectual property of MindAid Training.

Training materials are provided for personal learning purposes only and must not be copied, reproduced, distributed or used for commercial purposes without prior written permission.


Organisation Booking Process

Foundation School Partnerships, Small Team Packages and Organisation Packages follow the booking process below.

Step 1 – Submit an Enquiry

Complete the online enquiry form, including:

  • Organisation name
  • Contact person
  • Email address
  • Phone number
  • Approximate participant numbers
  • Preferred training location
  • Preferred training dates (if known)

Step 2 – Booking Consultation

MindAid Training will contact your organisation to:

  • Discuss your training requirements
  • Confirm suitable training dates
  • Discuss delivery options
  • Nominate a Course Coordinator


Step 3 – Participant Confirmation & Payment

At least 14 days before training, the Course Coordinator provides MindAid Training with the final participant list.

Once participant numbers are confirmed, a Stripe invoice will be issued to the organisation.

Payment is required before participant registration and course materials can be processed.

Once payment has been received, MindAid Training will:

  • Register all participants with Mental Health First Aid Australia
  • Order all participant manuals and course materials
  • Finalise preparations for your training

Payment terms will be outlined on the invoice.

Training is confirmed once payment arrangements have been finalised.

 

Step 4 – Course Preparation

MindAid Training will:

  • Order participant manuals
  • Register participants with Mental Health First Aid Australia
  • Send participants their pre-course information
  • Confirm final venue and course details

Step 5 – Training Delivery

Training is delivered on the agreed dates in accordance with the confirmed booking.


Step 6 – Course Completion

Following successful completion:

  • Participants receive their Mental Health First Aid accreditation through Mental Health First Aid Australia.
  • Accreditation certificates are issued by Mental Health First Aid Australia. Each participant will become a Mental Health First Aider!
  • Foundation School Partners continue to receive their partnership benefits for the remainder of their 12-month partnership.

Force Majeure

MindAid Training will not be liable for delays, cancellations or interruptions caused by circumstances beyond our reasonable control, including severe weather, natural disasters, public health emergencies, venue closures or other unforeseen events. Where possible, an alternative training date will be arranged.
